Data collection from Respondents

When Respondents (you) fill in surveys (questionnaires, surveys, polls, or forms) sent to them by Xcel Media Ltd, our survey software suppliers and Xcel Media Ltd collect data about the respective Respondents.

While our survey software provider hosts surveys, Xcel Media Ltd control how surveys are sent out and what is done with the information received. Response Data provided by Respondents to Xcel Media Ltd are owned and managed by Xcel Media Ltd. Our survey software supplier does not and will not use Response Data. The use of information collected through our survey supplier software service shall be limited to the purpose of providing the service for which our Xcel Media Ltd have engaged the survey software provider.

Data that Respondents actively provide to Xcel Media Ltd

  • WHAT data we collect and HOW

    It totally depends on the questions that Respondents answer. We collect all Respondents’ responses which may include age, gender, revenue, education level, sexual orientation.
    Note that we collect responses even if Respondents do not “submit” the survey.

  • WHY we collect

    We collect your responses (whether the survey is “submitted” or not), to be able to show statistics, graphs, and transfer your opinions or feedback to the client who have asked you to provide them such information.

  • How we USE this data

    We do not sell or reveal Respondents’ Response Data to the client or any third parties unless specific authorisation is obtained. Our survey software suppliers do not use respondent’s data.

  • HOW LONG we keep this data

    As long as the client of the survey requires survey results or:

    1. Deletes their account
    2. Deletes the survey
    3. Deletes the Response Data from an individual Respondent when requested

Data that we automatically collect about you

  • WHAT data we collect and HOW

    Through our surveys: When Respondents open surveys which are made using our software supplier services, we collect:

    1. Respondent’s IP-address, this is not normally enabled and respondents will be advise if this feature is enabled.
    2. Respondent’s email address if the respondent has previously agreed to the use of their email for such purposed or the information is in the public domain. i.e. Telephone Directory.

    Through Google Analytics: On surveys which are made using our software supplier services, they/we use a service from Google which is called Google Analytics to get an overview of large groups of users. Google Analytics shows us general information which are not personally identifiable! We may collect device information such as device type, operating system, browser version, country.

    Through Cookies: Our software suppliers offer a feature that makes it possible to limit participation on their surveys. This means that a Respondent will not be able to participate more than 1 time in the same survey. If Xcel Media Ltd enable this feature, their system saves a small file in your browser’s memory, which is called Cookie. Cookies are locally saved on Respondents devices and are never uploaded to their servers or to us, which means we do not technically “collect” any information through cookies.

  • WHY we collect and HOW we use this data

    Through our surveys:

    1. Individual Respondents’ country and city usually has analytical values for survey creators and we may use it in our analytics or reports.
    2. Individual Respondents’ IP-address may be used by Xcel Media Ltd (only if the Xcel Media Ltd activates this feature manually) usually as an identifier. IP addresses may help our survey suppliers figure out whether the same person is participating in the same survey more than one time. Such information may help them filter out or clean their collected data.
    3. Individual Respondent’s device information (Device model, browser model and version) is presented to Xcel Media Ltd, as it may have meaningful statistical value for them.
    4. Our survey software provider will not use any of the above-mentioned information.

    Through Cookies: Cookies help our software providers system to limit participation in the same survey from the same browser.

  • HOW LONG we keep this data

    As long as the client of the survey requires retention of the service or:

    1. Requests deletion of their account
    2. Requests deletion of the survey
    3. Requests deletion of the Response Data from an individual Respondent

    Our data in Google Analytics: is stored there as long as we have our Google Analytics account. Keep in mind that we do not have any personal data there!

Your rights to your data

Respondents have the right to ask Xcel Media Ltd to access, correct, or delete their Response Data. To do so, Respondents must contact Xcel Media Ltd on 20041415 or
